Configuring synchronization for multiple contact lists with BlackBerry Device Software 5.0 on BlackBerry Enterprise Server 5.0

With BlackBerry Device Software 5.0, multiple contact lists or contact and public folders can be accessed with the messaging platform.

To view either type of contact folder or the address book, regardless of the BlackBerry Enterprise Server messaging platform, a few steps must be performed with the BlackBerry Administration Service or the BlackBerry® Web Desktop Manager components.

To configure multiple contact lists or contact folders within the mailbox, use the BlackBerry Web Desktop Manager to select which contact lists and contact folders should be shown on the BlackBerry smartphone. To complete this, perform the following steps:

  1. Log in to the BlackBerry Web Desktop Manager using the credentials provided by the system administrator.
  2. Click the Email Settings tab on the top of the BlackBerry Web Desktop Manager page.
  3. In the left pane, click Contact Folders.
  4. In the right pane under Private Contact Folders, expand the main contact list to see other contact lists that are available within the mailbox.
  5. Select or clear the check boxes beside the contact lists that are to be available on the BlackBerry smartphone.
  6. In the drop-down list beside the Default contact folder label, click the contact list to be displayed within the contacts application on the BlackBerry smartphone.

To view any of the other contact lists, perform the following steps to configure the BlackBerry smartphone:

  1. Within Contacts on the BlackBerry smartphone, press the Menu key.
  2. Click View Folder.
  3. Expand the folder list and highlight the preferred contact list.
  4. Press the Menu key.
  5. Click View Folder.

A public contact folder or contact list must be configured in the BlackBerry Administration Service before it is available for selection in the BlackBerry Web Desktop Manager. When a public contact list or contact folder is configured, it becomes available in the following location in the BlackBerry Web Desktop Manager:

 Note: An administrator can also limit which contact lists or contact folders are available to a BlackBerry smartphone user. A BlackBerry smartphone user might not have access to all contact lists or contact folders that are visible within the mailbox.

It is also possible to select public contact lists for a user from the BlackBerry Administration Service by completing the following steps:

  1. Find the user within the Manage Users option and click the desired BlackBerry smartphone user.
  2. On the Manage Users screen, click Edit User.
  3. Under the Messaging Configuration heading click Default Configuration.
  4. Click the E-mail tab.
  5. Under the Private contact folders heading, select the desired contact lists.
  6. Optional: Change the Default Contact Folder drop down to the contact list which the BlackBerry smartphone user wishes to appear as the default Contact folder.
  7. Click Continue to User Information edit.
  8. Click Save All.

Note: Any changes to settings are also reflected in the BlackBerry Web Desktop Manager.
