How to reconcile email messages with a PST file

Background

You can set up BlackBerry® Desktop Software to reconcile the email messages on your BlackBerry smartphone with a Microsoft® Outlook® Personal Stores (PST) file on your computer. The reconciliation process can be performed manually, or it can be performed automatically each time you connect your BlackBerry smartphone to your computer.

Note: The BlackBerry smartphone user must be on a BlackBerry Enterprise Server to have this functionality.

Procedure

To reconcile email messages using an earlier version than BlackBerry Desktop Software 4.3, complete the following steps:

  1. Connect your BlackBerry smartphone to your computer.
  2. In BlackBerry Desktop Manager, open Intellisync®.
  3. Click Configure reconciliation.
  4. In the Personal Folder section, from the Personal Folder drop-down list, select the PST file you want to reconcile with your BlackBerry smartphone and click OK.
  5. Complete one of these tasks:
    • To reconcile manually, select the Reconcile messages check box and click Synchronize Now. Your email messages will be reconciled with the selected PST file.
    • To reconcile automatically, click Auto Start. Select the Reconcile messages check box, and click OK. Your email messages will be reconciled with the selected PST file the next time you connect your BlackBerry smartphone to your computer.
  6. Click Close.

To reconcile email messages using BlackBerry Desktop Software 4.3 to 5.0, complete the following steps:

  1. Connect your BlackBerry smartphone to your computer.
  2. In BlackBerry Desktop Software, click Synchronize.
  3. Click Reconciliation.
  4. In the Personal Folder section, from the Personal Folder drop-down list, select the PST file you want to reconcile with your BlackBerry smartphone, click Main Menu, and then click Synchronization.
    Note: The PST file must be present in Microsoft Outlook for you to choose it from the drop-down list. If the PST is not shown, add it in Microsoft Outlook and then reopen the BlackBerry Desktop Software.
  5. Complete one of these tasks:
    • To reconcile manually, select the Reconcile messages check box and click Synchronize. Your email messages will be reconciled with the selected PST file.
    • To reconcile automatically, select the Synchronize automatically check box, and click OK. Your email messages will be reconciled with the selected PST file the next time you connect your BlackBerry smartphone to your computer.

  6. Close the BlackBerry Desktop Software.

When reconciling email messages with a PST file, any folders stored in the PST file are copied to your BlackBerry smartphone. You can use those folders to file the email messages you want to reconcile with the PST file. Also, when filing email messages from a Microsoft Exchange folder to a PST file, the email messages that are present on the BlackBerry smartphone will be filed automatically.

The PST synchronization feature is limited to one PST file only. If a different PST file is configured for synchronization, its folder structure replaces that of the previously synchronized PST.

The ability to synchronize PST files has been removed from BlackBerry Desktop Software 6.0.
