In the event that different or multiple Outlook folders and data files (IE: Address Book, Calendar, Memos, Tasks) need to be synchronized with the BlackBerry device using BlackBerry Desktop Software, specific folder mapping changes will be required. Follow the steps below for the corresponding version of Desktop Software in order to map the required data.
Note: Data entered on the BlackBerry device will be synchronized only to the Outlook folder selected as the default (will be shown in bold in the mapped folders list).
To configure synchronization for different folders and data files using BlackBerry Desktop Software 7.0, complete the following steps:
- Connect the BlackBerry smartphone to the computer.
- Open BlackBerry Desktop Software, and click Organizer.
- Click Configure... beside the data type (Contacts, Calendar, Tasks, Memos) that requires sync with an alternate folder.
- Click Advanced...
- Select the Folders tab.
- Select the radio button for Select different <contacts/ calendar/ tasks/ memos> to sync.
- Navigate to and select the specific item to be synchronized from the list and click Add
- Click OK.
- Click OK.
To configure synchronization for different folders and data files using BlackBerry Desktop Software 6.0 to 6.1, complete the following steps:
- Open BlackBerry Desktop Software.
- Click Organizer on the left side.
- Then select Configure Settings.
- Click Advance.
- Select the PIM database you wish to configure from the tabs at the top (Address Book, Calendar, Memos, Tasks)
- Click Map Folder.
- Click + to expand the selected mailboxes (data files).
- Select the appropriate folders for the PIM database being configured
- Click Add.
- Click OK
- Repeat steps 5 through 10 for the remaining PIM databases
- Click OK to return to Intellisync
- Click OK to return to Organizer
- Click the "Sync" button in the bottom right hand corner.
To configure synchronization for different folders and data files using BlackBerry Desktop Manager 4.5 to 5.0 SP1, complete the following steps:
- Open BlackBerry Desktop Manager.
- Click Synchronize.
- On the left hand side select Synchronization under the configure option.
- Then select Synchronization.
- Click Advance.
- Select the PIM database you wish to configure from the tabs at the top (Address Book, Calendar, Memos, Tasks)
- Click Map Folder.
- Click + to expand the selected mailboxes (data files).
- Select the appropriate folders for the PIM database being configured
- Click Add.
- Click OK
- Repeat steps 6 through 11 for the remaining PIM databases
- Click OK to return to Intellisync
- Click OK to return to return to the Synchronize window.
- Select the Synchronize, check Synchronize organizer data and then click Synchronize.
Note: Choosing the main contact folder and checking the box to include sub-folders will also synchronize sub-folders.
To synchronize a sub-folder using BlackBerry Desktop Manager 4.2, complete the following steps:
- Open BlackBerry Desktop Manager.
- Click Synchronize.
- Select the Configuration tab and then select Configure sync.
- Check Address Book and click Choose.
- Select Microsoft Outlook and click Browse.
- Click to Expand your mailbox, select Contacts and then click Add.
- A window will appear prompting you to add sub-folders, click OK.
- Click OK until you return to the Synchronize window.
- Select the Synchronize tab, check Synchronize organizer data and then click Synchronize now.
