How to use the "Keep Messages" option on the BlackBerry smartphone

The Keep Messages option allows configuration of the number of days to keep email messages, SMS text messages and PIN to PIN messages on the BlackBerry smartphone. After this period of time, all messages are automatically removed from the BlackBerry smartphone. Email messages removed from the BlackBerry smartphone (using the Keep Messages option) are not removed from the following:

The messaging and collaboration server (if using a BlackBerry Enterprise Server)

To change this option on a BlackBerry smartphone running BlackBerry Device Software 4.2.0 to BlackBerry Device Software 5.0, complete the following steps:

  1. On the BlackBerry smartphone, open the Messages application.
  2. Open the menu and select Options.
  3. Select General Options.
  4. Scroll to the field labeled Days to Keep Messages.
  5. Open the menu and select Change Option.
  6. Change the value to the number of days to keep all messages on the BlackBerry smartphone.

To change this option on a BlackBerry smartphone running BlackBerry Device Software 6.0 to BlackBerry 7.1, complete the following steps:

  1. On the BlackBerry smartphone, open the Messages application.
  2. Click on the BlackBerry button to view the menu list.
  3. Choose Options from the list.
  4. Choose Message Display and Actions.
  5. Change the value of  Days to keep messages to your desired number of days

To remove email messages from the BlackBerry smartphone that are older than the number of days the Keep Messages option has been changed to, complete the following steps:

  1. On the BlackBerry smartphone, open the Messages application.
  2. Navigate to a date that is older than the number of days specified in the Keep Messages option.
  3. Highlight the date, open the menu and select Delete Prior.
  4. Confirm the deletion when prompted.
    Note: If the steps above are not performed, email messages that were on the BlackBerry smartphone while the Keep Messages option was set to Forever will remain on the BlackBerry smartphone.

To change this option using an IT policy on a BlackBerry Enterprise Server 3.6 or 4.0, complete the following steps:

  1. Open BlackBerry Manager.
  2. Right-click the BlackBerry Enterprise Server name, then click IT Policy.
  3. Highlight the appropriate IT Policy and click Edit.
  4. Under CMIME Application Policy Group select Keep Saved Messages Duration.
  5. Select one of the following Integer Values:
  6. The default setting is -1. The BlackBerry smartphone keeps email messages indefinitely.
  • Set this rule to 0 or -1 to keep saved email messages on the BlackBerry smartphone indefinitely.
  • Set this rule to -2 to delete saved email messages and turn off the ability to save email messages on a BlackBerry smartphone.


To change this option using an IT policy on a BlackBerry Enterprise Server 4.1, complete the following steps:

  1. Open BlackBerry Manager.
  2. In BlackBerry Manager, select Servers, then click the Global tab.
  3. From the Tasks menu, click Edit Properties.
  4. Select IT Policy, then double-click IT Policies.
  5. Highlight the appropriate IT Policy and click Properties.
  6. Under Properties select Email Messaging policy group.
  7. Within the right pane add one of the following Integer Values to Keep Message Duration:
  • The default setting is -1. The BlackBerry smartphone keeps email messages indefinitely.
  • Set this rule to 0 or -1 to keep email messages on the BlackBerry smartphone indefinitely.

To change this option using an IT policy on a BlackBerry Enterprise Server 5.0, complete the following steps:

  1. Open BlackBerry Administration Service console.
  2. Under the BlackBerry solution management, expand Policy, then click the Manage IT Policies.
  3. Select an appropriate IT policy name.
  4. Click Edit IT policy at the bottom.
  5. Click the Email Messaging tab.
  6. Search for the Keep Message Duration option to add one of the following Integer Values to keep the email message duration.
  • The default setting is -1. The BlackBerry smartphone keeps email messages indefinitely.
  • Set this rule to 0 or -1 to keep email messages on the BlackBerry smartphone indefinitely.

Note: The time taken for the messages to be removed from the BlackBerry smartphone may take up to 48 hours from the stipulated time.
