How to merge multiple calendars into one calendar on the BlackBerry smartphone

As of BlackBerry Device Software 4.3, the BlackBerry smartphone supports maintaining multiple calendars. This accommodates having a wirelessly synchronized calendar with the BlackBerry Enterprise Server and/or one or more integrated email addresses through a BlackBerry Internet Service account. This allows the BlackBerry smartphone to create or receive calendar appointments through multiple sources (email accounts) in the calendar on the BlackBerry smartphone. This gives the BlackBerry smartphone the ability to do a wired synchronization from each calendar through the BlackBerry Desktop Manager to any supported organizer, with the exception of a wirelessly synchronized calendar.

When creating new calendar entries on the BlackBerry smartphone, by default, the BlackBerry smartphone refers to the Default Calendar (CICAL) service when determining which calendar is to be used. The BlackBerry smartphone user has the option to choose a different calendar to create a new entry in, by performing the following:

  • Select the appropriate calendar service under the Send Using drop-down list to create the new entry
  • Choose to view the appropriate calendar from within the Calendar application by clicking the menu key and selecting Select Calendar

When receiving a calendar invite, the entry is saved to the CICAL service it was received on.

The BlackBerry Desktop Manager is directed to the Default Calendar (CICAL) service when performing a wired synchronization of the BlackBerry smartphone calendar. For example, if <user>@gmail.com and <user>@yahoo.com are integrated email accounts and the <user>@gmail.com account is set to be the default calendar, performing a wired synchronization process will only transfer items associated to the <user>@gmail.com calendar. In order to synchronize the <user>@yahoo.com calendar, the default calendar must be changed to that account so that the BlackBerry Desktop Manager is directed to synchronize the information from this calendar.

Note : If the default calendar on the BlackBerry smartphone is changed and a two-way synchronization is processed without changing the destination source on the computer. The entries on the computer will also synchronize to the newly assigned default calendar on the BlackBerry smartphone. This action will cause calendar duplication.

There are some situations where calendar entries may become displaced from the originating calendar. These may include the following situations:

  • The user account is removed from a BlackBerry Enterprise Server and the Desktop service books are manually removed from the BlackBerry smartphone.
  • An integrated email account is removed from a BlackBerry Internet Service account.
  • The CICAL service book associated to a BlackBerry Internet Service account or BlackBerry Enterprise Server account is deleted.
  • The BlackBerry Device Software had been installed with the Restore option selected and the BlackBerry smartphone is not reactivated to a BlackBerry Enterprise Server account .
  • Only the calendar database is restored from a backup file.

When one of these situations occurs, the calendar entries may become associated with the Device Default calendar. This is essentially a holding area for calendar entries that have no current association to a CICAL service. This is not the same calendar as the one that is configured under the Default Services option. Calendar entries that are found under the Device Default calendar are not associated to a CICAL service.

Scenario 1

If there are two email account integrations with a BlackBerry Internet Service account, for example user@gmail.com and user@yahoo.com . If the user@gmail.com account is deleted, the associated Gmail® service books are automatically removed from the BlackBerry smartphone. Within the Calendar application, there will be entries associated to the user@yahoo.com account as well as entries now associated to the Device Default calendar. Once the Gmail service books have been removed, any associated calendar entries move to the Device Default (base system) calendar and are no longer associated with a specific email account. This prevents these entries from being synchronized with BlackBerry Desktop Manager. To merge these records with the user@yahoo.com calendar, complete the following steps:

Warning: This command will irreversibly move the calendar entries to one calendar. Back up the BlackBerry smartphone before you proceed.

  1. Open the Calendar application.
  2. Press the menu key.
  3. Choose Options.
  4. Type MOVE on the keypad.
  5. When prompted to move all appointments in the base system calendar, choose YES to accept the change. All entries in the Device Default calendar will move to the default active calendar.
  6. Perform a hard reset of the BlackBerry smartphone by removing and replacing the battery while the BlackBerry smartphone is powered on.

Note : When performing step 4 on multitap BlackBerry smartphones, tap the following keys MOVVE

For Full Touch screen BlackBerry smartphones, with the device in Landscape mode perform the following steps:

  1. Open the Calendar application.
  2. Press the menu key.
  3. Choose Options.
  4. Press the menu key.
  5. Select Show Keyboard.
  6. Type MOVE on the keypad.
  7. When prompted to move all appointments in the base system calendar, choose YES to accept the change. All entries in the Device Default calendar will move to the default active calendar.
  8. Perform a hard reset of the BlackBerry smartphone by removing and replacing the battery while the BlackBerry smartphone is powered on.

These steps will move all calendar entries existing on the Device Default calendar to the calendar selected as the default calendar (CICAL) shown in Options > Advanced Options > Default Services.

Note : If prior to performing the MOVE command as stated above the user@gmail.com account is reintegrated, the entries that were moved to the Device Default calendar will once again become associated to the user@gmail.com account when the user@gmail.com (CICAL) service book is received to the BlackBerry smartphone.


Scenario 2

If there are two email accounts integrated with the BlackBerry Internet Service account, for example user@gmail.com anduser@yahoo.com , and the BlackBerry smartphone is also activated to a BlackBerry Enterprise Server using a company email address, user@company.com (Desktop). To merge all existing calendar entries to the user@company.com, complete the following steps:

  1. Go to Options > Advanced Options > Default Services.
  2. Verify the service selected as the Default Calendar [CICAL] is correct. In the above scenario, it would be Desktop.
  3. Press the back arrow and save the changes if prompted.
  4. In the Advanced Options menu, choose Service Book.
  5. Highlight the service book entry for the calendar (CICAL) that contains the entries to be moved. In the above scenario, it would appear as user@gmail.com (CICAL).
  6. Press the menu key and choose Delete.

By deleting the CICAL service book, any calendar entries associated with it are moved to the Device Default calendar. This step can be repeated if additional calendars contain entries to move as well.

Once all associated CICAL service books have been deleted, complete the following steps to merge all entries into the calendar listed in the default calendar as checked above:

  1. Open the Calendar application.
  2. Press the menu key.
  3. Choose Options.
  4. Type MOVE on the keypad.
  5. When prompted to move all appointments in the base system calendar, choose YES to accept the change. This will move all entries in the Device Default calendar to the default active calendar.
  6. Perform a hard reset of the BlackBerry smartphone by removing and replacing the battery while the BlackBerry smartphone is powered on.
  7. Once the BlackBerry smartphone has reset, resend the service books from the BlackBerry Internet Service to recover the service books that were deleted in the steps above.

Note : When performing step 4 on multitap BlackBerry smartphones, tap the following keys MOVVE

For Full Touch screen BlackBerry smartphones, with the device in Landscape mode perform the following steps:

  1. Open the Calendar application.
  2. Press the menu key.
  3. Choose Options.
  4. Press the menu key.
  5. Select Show Keyboard.
  6. Type MOVE on the keypad.
  7. When prompted to move all appointments in the base system calendar, choose YES to accept the change. This will move all entries in the Device Default calendar to the default active calendar.
  8. Perform a hard reset of the BlackBerry smartphone by removing and replacing the battery while the BlackBerry smartphone is powered on.
  9. Once the BlackBerry smartphone has reset, resend the service books from the BlackBerry Internet Service to recover the service books that were deleted in the steps above.

Since the calendar entries were merged into the user@company.com accounts calendar, they will not be re-associated to the user@gmail.com account even when service books have been recovered.

NOTE : If the calendar is synchronized using the BlackBerry Desktop Manager software, the configuration for BlackBerry Desktop Manager will need to be reset and set up again before completing another synchronization.


Scenario 3

If there are two email account integrations with the BlackBerry Internet Service account, for example user@gmail.com and user@yahoo.com account. To move a calendar entry from the user@gmail.com calendar to the user@yahoo.com calendar complete the following steps:

  1. Ensure that the user@yahoo.com (CICAL) calendar is configured as the default calendar in Options > Advanced Options > Default Services.
  2. Press the back arrow and save the changes if prompted.
  3. Open the Calendar application.
  4. Open the calendar entry that is to be moved.
  5. Hold down the ALT key and type MOVE.
  6. When prompted: Move this appointment to the current default calendar, <CICAL Service>? Select Yes to move the entry.
  7. Click the escape key and select to Discard changes. This will discard the text that was typed over the entry, the appointment will still be associated to the default calendar.

Service books can be resent to the BlackBerry smartphone by completing the tasks in KB02830 .
